HubSpot integration
Take the enquiry into your CRM.
New Enquiry Fox enquiries automatically appear in HubSpot as a contact and a separate note, ready for your team to follow up.
The integration is being prepared for pilot use and Marketplace review. Enquiry Fox is not currently listed or certified by HubSpot. Connection is available only on deployments where setup has been enabled.
Before connecting
Your accounts and permissions.
You need an Enquiry Fox business account and access as its verified owner. Sign up and complete business setup if you are new. You also need a HubSpot account with permission to install apps and read and write contacts. Your HubSpot administrator can help with installation permissions.
Use one HubSpot account for one Enquiry Fox business. The connection applies to that business. Only its verified owner can connect, disconnect or retry a sync.
This release requests contact read and write permissions. Reading finds the right contact and checks transfer results; writing creates missing contacts and adds notes. Existing HubSpot contact fields are not overwritten. HubSpot may describe these permissions as bidirectional data access.
The integration adds no separate Enquiry Fox connector charge. Normal Enquiry Fox subscription terms and your own HubSpot plan apply. We have not yet verified every HubSpot edition in a live pilot; no paid HubSpot upgrade is requested by this guide.
Setup
Connect once. New enquiries sync automatically.
- Sign in to Enquiry Fox, open Settings and find HubSpot. If setup is not enabled, contact product support.
- Choose Connect HubSpot, sign in to HubSpot, select the correct account and review its requested permissions.
- Approve the connection. Back in Enquiry Fox, check the connected HubSpot account number.
- If your HubSpot account requires a legal basis, choose the basis your business uses for these enquiries under Legal basis for new contacts and save it. Enquiry Fox does not choose a basis for you.
- New enquiries now sync in the background after they are saved. No send button is needed. Open Enquiries to check their HubSpot status.
- Wait for Sent to HubSpot, then use Open HubSpot contact to view the contact and its enquiry note.
Older enquiries are not copied automatically; the owner can send one from its enquiry details. Changes made later in either product are not automatically copied back.
Shared information
Contact details and enquiry context.
Enquiry Fox first matches by email, or by the supplied phone number when email is absent. If no contact matches, it creates one using the customer’s full name in HubSpot’s first-name field, phone and email if provided. Multiple phone matches pause the transfer for review. Different phone formatting can prevent a match; review possible duplicates in HubSpot.
A separate associated note contains the name, phone, optional email and postcode, enquiry description and service, urgency, contact preference, reference and submission time. It links to the Enquiry Fox inbox, which requires sign-in. Photos, quotes, payment details and private photo links are excluded.
Connecting stores an encrypted HubSpot access grant and account number. Transfer records retain the contact/note identifiers and a matching hash while the enquiry is retained. See our privacy notice. The business remains responsible for appropriate sharing and subsequent use in its HubSpot account.
Your saved legal basis applies only when this connection creates a new contact. It does not change existing contacts or subscribe anyone to marketing. Disconnecting clears the saved choice.
Troubleshooting
Confirm the result before retrying.
Connection not completed: return to Settings, check the account and permissions, and connect again. The same HubSpot account cannot be connected to two Enquiry Fox businesses.
Queued or still running: sync starts after the enquiry is saved, even if you leave the page. Temporary failures retry through the scheduled worker, normally within 30 minutes. Automatic attempts stop after eight failures or 23 hours; check the enquiry and choose Retry HubSpot sync after resolving the error. Choose Refresh status to see the latest result.
Unconfirmed transfer: automatic sending pauses to prevent duplicates. Choose Check unconfirmed transfer. A matching contact or note can confirm a previously accepted request. Missing results never trigger an automatic duplicate. If it stays unconfirmed, inspect the contact in HubSpot and contact support with the enquiry reference. The check examines up to 100 associated notes.
Rate limit or access error: wait until the displayed restriction clears, or reconnect and check HubSpot permissions, then retry any enquiry that needs attention. Expired or deleted enquiries cannot be sent.
Legal basis required: open Business details → HubSpot, choose and save the appropriate legal basis for your business, then retry the enquiry if automatic attempts have stopped. Contact support if your account needs a value that is not offered.
Disconnect
Keep control of both copies.
In Enquiry Fox Settings, choose Disconnect HubSpot. This removes local credentials and stops queued and future transfers; a request already started may finish. Enquiry Fox also attempts to revoke the refresh token. If revocation cannot be confirmed, the screen asks you to remove Enquiry Fox in HubSpot’s connected apps. Removing it there completes uninstallation.
Disconnecting or deleting an enquiry or Enquiry Fox account does not delete contacts and notes already copied to HubSpot. Manage those records and any privacy request in HubSpot too. Local transfer metadata is erased with the enquiry; company closure removes the stored connection.
